Fuel slip capture for South African truck fleets

The slip from the pump is the only record of where the diesel went. TruckAgent turns a photo of it into a fuel log entry: the litres, amount, station and odometer read for you, checked against the truck's tank and its last reading, and confirmed by the office before it counts.

30 days free with 100 readings, no card needed. From R599 a month after that.

From the forecourt to the fuel log

Four steps, and the driver only does the first one. Nobody types a slip in at month end, and no slip lives in a shoebox.

  1. The driver photographs the slip

In the cab or at the pump: choose Fuel, hold the slip flat and tap. Drivers sign in with a cell number or ID number and see nothing else.

  2. The figures are read for you

Date, registration, litres, amount and currency, station and odometer come off the photo, so nobody retypes them.

  3. The office confirms it beside the photo

Nothing is filed until a person has checked it. The reading sits next to the original image, ready to confirm or correct in a moment.

  4. It lands on the truck and the trip

The fill joins the vehicle's fuel log with its litres, cost and odometer, linked to the trip it belongs to, so consumption and per-trip cost build up without anyone keeping a workbook.

Checked the way a person would check it

A creased thermal slip photographed at night gets misread in predictable ways: a lost decimal point, a price swapped with a total, the trip meter read instead of the odometer, a date the wrong way round. Each reading is compared with what it should look like.

  • More litres than the truck's tank holds
  • A price per litre outside any normal diesel price
  • An odometer lower than the last reading, or too far past it
  • A date in the future, the usual sign of day and month swapped

It warns and never refuses. The diesel really did go into the truck, so a doubtful slip goes to a person instead of being thrown away.

Not only fuel slips

The same photo-and-submit works for the rest of the paper a trip produces. Each document goes where it belongs, waiting for the office to confirm it.

Questions about capturing slips

Something not covered? Ask us directly.

What does TruckAgent read from a fuel slip?

The date, the vehicle registration if it is printed, the litres, the amount and its currency, the station and the odometer reading.

What if the photo is blurry or the slip is creased?

Every reading waits for the office to confirm it beside the original photo, and readings that do not make sense against the truck's tank, the diesel price or the last odometer reading are flagged. Anything misread is corrected before it is filed.

Do drivers need to install an app?

No. Drivers capture from their phone's browser today. Dedicated iPhone and Android apps are on the way, and they are included on every plan.

How many slips can we capture each month?

Each photographed document is one reading. Starter includes 50, Professional includes 300, Premium includes 1 000 a month, and the free trial includes 100.

Can it read invoices and delivery notes too?

Yes. Supplier and workshop invoices, toll slips, fines and truck-stop slips become costs waiting for the office to confirm, and a delivery note is attached to its trip with the load and off-load odometer readings.

Photograph the next slip instead of filing it

Start a trial, add a truck and a driver, and have the driver photograph the next fill. It reaches the office already read and checked.
