Cross-border trucking software for the SADC corridors

A load to Lusaka, Harare or Maputo carries more than freight: permits for the truck and the driver, fees in three currencies and a delivery note signed at a gate a thousand kilometres from the office. TruckAgent keeps all of it on the trip, so you know what the load earned before the truck is home.

What changes when a load crosses a border

Local fleet software assumes the truck comes home at night and everything is paid in rand. On the corridors north and east, neither is true.

  • Two sets of papers

The truck needs its permits and roadworthy, the driver a PrDP and passport, and an expired one stops the load at the fence.

  • Several currencies

Diesel in rand, the toll in US dollars, the return fill in kwacha, all on one trip.

  • Paperwork far from the office

The signed delivery note is a thousand kilometres away, and the invoice waits for it.

  • A margin that leaks

Agent fees, border fees and waiting time decide whether the load paid. They are the costs most likely to go unrecorded.

Permits for the truck and the driver

Cross-border permits, roadworthies, licences, PrDPs, insurance and anything else your corridors ask for sit in one colour-coded view, ordered by how soon they expire. You choose the warning period for each type of document, and the office is emailed long before anything lapses.

  • Company, vehicle and driver documents in one place
  • A copy of each, a tap away when an official asks
  • Warnings on the schedule you set, per document type

Costs in the currency they were paid in

Record a trip rate or a cost in rand, pula, kwacha, metical, Zimbabwe gold, US dollars or the region's other currencies. Each amount keeps the currency it was paid in. The rand, loti, lilangeni and Namibian dollar count at par, the way the Common Monetary Area pegs them, and nothing else is converted at a rate nobody recorded.

  • Agent fees, tolls and border costs tied to their trip
  • A default currency set once for the company, rand unless you change it
  • Every log exports to Excel for the accountant

Paperwork from the far end of the trip

The driver photographs the signed delivery note at the gate. It is read, load and off-load blocks and both odometer readings included, and attached to the trip it belongs to, so the invoice does not have to wait for the paper to come home.

Drivers capture from their phone's browser today. The iPhone and Android apps, on the way, keep a photo taken without signal on the phone until it can be sent.

What the crossing really cost

Fuel, tolls, agent fees and repairs all hang off the trip that caused them, so each load shows what it earned after the border took its share. Completed trips become invoices from the agreed rates, and a trip can never be billed twice.

Questions about cross-border loads

Does TruckAgent handle more than one currency?

Yes. Trip rates and costs can be recorded in rand or in the region's other currencies, including the pula, kwacha, metical, Zimbabwe gold and US dollar. Each amount keeps the currency it was paid in. The rand, loti, lilangeni and Namibian dollar are treated at par, as the Common Monetary Area pegs them, and nothing else is converted at a rate nobody recorded.

Can it track cross-border permits and PrDPs?

Yes. Company, vehicle and driver documents each carry an expiry date, a copy of the document and a warning period you choose, and the office is emailed before anything lapses.

Which border posts and towns does it know?

The trip form lists towns across Africa, including Beitbridge, Chirundu, Kasumbalesa, Ressano Garcia, Plumtree and Katima Mulilo, and the cities on the corridors beyond them.

What if a driver has no signal at the border?

Today drivers capture from their phone's browser, which needs a connection to upload. The iPhone and Android apps, on the way, keep a photo taken without signal on the phone until it can be sent, so a delivery note signed at the fence is not lost.

Does TruckAgent replace our clearing agent?

No. TruckAgent does not file customs declarations. It keeps the agent's fees, the permits and the paperwork on the trip, so you can see what each crossing cost.

Put your next border run in it

Add the truck, the driver and their documents, book the trip and let the driver photograph the slips on the way. By the time the truck is back, the trip shows what it earned.
